Ratio breaches priced in monthly tuition, with immunizations, incidents and the daily register.
The short answer
Childcare Center is an Odoo app for daycare and childcare centres. Rooms carry a licensed capacity, an age band and a staff-to-child ratio, so the software can name the room that is over ratio right now and price the monthly tuition sitting in it. Immunization doses, incident reports with a guardian notification stamp, enrollments and the daily attendance register sit under the same menu.

What it is for
A director's week runs on one asymmetry. A slow enrolment month costs money, and next term can win it back. A room found over ratio during an unannounced inspection is a citation, and repeat citations close centres. Every tool we looked at reports the licensing side as a percentage, which tells us a rule is bent somewhere without saying which room, by how many adults, or what it costs when an inspector makes that room send children home until it is staffed.

What is inside it

Tuition at risk
The lead tile totals the monthly tuition sitting in rooms that are over ratio right now, and clicking it opens exactly those places by name rather than a summary of them.

The board
Twelve tiles, each clicking through to the rows it counted. Tiles whose meaning fights an action's own default filter switch that default off, so the number and the list cannot disagree.

Rooms
A room carries its licence, age band, the adults assigned and two different spare-capacity numbers: headroom the staffing allows, and seats nobody occupies. Cards say the word as well as the colour.

The fee book
Weekly and monthly places cannot be added together, so each enrollment stores a monthly value and the list totals that column instead of raw tuition.

Immunizations
Each dose records the vaccine, the date given, the next dose due and the batch number. The per-child up-to-date flag is unstored with a hand-written search method, so it cannot go stale on the day a dose falls due.

Incidents
Five types, three severities, a required description and a record of what was done. The notification fields are readonly and written only by the Notify Parent button, which stamps the time.

The register
Attendance is typed one row per child as they arrive, with the adult who handed them over. Not signed out yet counts today's rows only, never last week's data-entry misses.

One room holds more children than the adults assigned to it allow. Every other room on the site is inside its own rule.
A room passes when it has at least one adult on the floor and its children do not outnumber the required ratio times the staff count. The card reads Needs another adult, the form raises an Over Ratio ribbon, and the lead tile totals the monthly tuition sitting in that room.

Archiving a teacher who left puts a room over ratio
A teacher leaves and an administrator archives the user. Nobody opens the classroom record that day.
The staff list on a room counts active users only, so the room goes over ratio the instant the archive happens, and the field's own help text says so out loud. The over-ratio filter reaches the classroom through a stored compute, which is what lets the tile click through at all.

A weekly place and a monthly place have to add up
Some places are quoted by the week and some by the month, and the owner wants a recurring revenue figure off the enrollment list.
Each enrollment carries a stored monthly value: tuition for a monthly place, tuition times 52/12 for a weekly one. The list totals that column and the raw tuition column carries no total at all, because a raw total renders happily while meaning nothing.

The fee book
What it deliberately does not do
- No parent portal and no parent app
- Guardians are ordinary contacts. There is no controller, no portal or website dependency, and no screen outside the back office. The notification field records that a member of staff told a guardian; the module does not do the telling.
- No invoicing, payments or subsidies
- Tuition and monthly value are money fields on the enrollment. Nothing depends on Accounting or Sales and no journal entry is created. No vouchers, no late fees, no statements, no direct debit.
- No rostering, timesheets or payroll
- The staff list on a room is a plain user field with no shift and no hours. The ratio is computed against who is assigned to the room, not who has clocked in, so it is exactly as accurate as your assignments are.
- Nothing runs on its own
- The module ships no scheduled job. Overdue doses, untold guardians and children still signed in appear on the board when somebody opens it. Nothing emails, texts or escalates by itself.
- No ratio library
- The children-per-staff figure is an integer you set on each room. No state or provincial ratio tables ship with the module, and it will not tell you what your own licence requires.
